DUTIES OF OFFICERS

– Chairman Governing Council(CGC)

The Proprietor shall be the Chairman-Governing council and the Chief Executive officer of African Peace Polytechnic.

– Rector

Shall be the over all head of the operation of the polytechnic.

He shall plan and organize all the sectors of the Polytechnic Academic  And  Non Academic Programs , Social Programs including marketing of the Polytechnic to local and international world as well as manage and coordinates work force.

He shall be an experts of human resources Managements.

He shall Supervise, manage and operates without any fear or foe.

The Rector shall raise funds, grants, Secure Sponsorship for the various projects of the Polytechnic.

He shall creates good relationship between African Peace Polytechnic, Partners, Affiliates and Affiliated Institutions as well as creating new ones.

He shall formulates Policies that will lead the Polytechnic to meet a Global Standard and implement same. and He shall be Responsible to the Proprietor.

– Executive Assistant.(EX. ASS)

Shall assume the duty of deputy Rector, representing the interest of the Executive Assistant and particularly the interest of which the polytechnic was established, Ensure the supervision of the operation of both Academics and non Academics departments.

He shall also be one of the Management members and work hand in hand with the Rector and the Registrar. He shall be responsible Directly to the Chairman Governing Council.

 

– Registrar (REG)

Shall assist the Rector in the day-to-day management of the Polytechnic and secretarial-ship of the statutory bodies of the school. He shall be the chief Administrative officer, responsible for admission and graduation functions.

Shall be one of  the key officers  and thus part of a consultative process regarding whole school policy decisions and review of all aspects of the school’s academic practice and policies. shall be responsible to the Chairman Governing Council.

– Cooperate Secretary(COM.S)

The cooperate secretary  shall be responsible for the legal administration of the Polytechnic, particularly with regard to ensuring compliance with statutory and regulatory requirements and  ensuring that decisions of the Board of Governors are implemented. He shall be responsible to the Chairman Governing Council.

– Confidential Secretary(C.S)

Shall provide high-level administrative support to the chairman by conducting research, preparing statistical reports, handling information requests and performing clerical functions, oversees administration and registry. He shall also prepare correspondences, received visitors on behave of the chairman, arranging Conferences. shall act as a first point of contact, controlling access to the Chairman, he shall be responsible for booking, arranging diaries for appointments etc. he shall report directly to the Chairman Governing Council.

– Academic Supervisor(AC.SUP). Shall be appointed directly by the chairman Governing Council to monitor the lecturers and their teaching practices for standard conduct, observe the response of the students to lectures and shall formulate, instill and recommend academic discipline, submit and academic observation report to the Governing Council through the Rector.

– Admission Officer (A.O)

Shall be responsible for the process of Admitting student’s into any Departments with the approval of the Registrar and Rector.

He shall verify all credentials that is submitted by candidates and scrutinize and advice the Managements and He shall be responsible to the Registrar.

2.1.8 Protocol Officer(PROT)

Protocol officer plan and organize official visits throughout the Federation such as the visits of delegations. Generally, he provides advisory services for any ceremonial event etc. he reports directly to the Rector.

– Auditor(AUDR)

He shall monitor all assets, financial records, documents  and correspondences relating to all financial  transactions of the school and submit same for auditing.  He shall be responsible to the Chairman Governing Council.

– Head of Departments (H.O.D)

Shall be responsible for strategic planning, academic curriculum, facilities and research, contribute towards formulation and implementation of policies, counsel students where necessary and represent the Rector where necessary and he shall be responsible to the Rector.

2.1.11 Senior Lecturers(SL)

Is the senior career grade teaching and research position. He is expected to show academic leadership in both teaching and research and to support the management and strategic planning process of the school. He shall report to the Rector.

– Librarian Officer (LO)

Librarian officer shall be in charge of the library, providing access service, information and instruction, formulate and implement library policies. He shall be answerable to the Chairman Governing council.

– Laboratory Officers (LAB.O)

Shall be responsible for providing efficient and effective facility for student’s learning, assessment and research, ensuring the laboratory and activities comply with relevant school and health safety requirements. He shall be responsible to the Dean of Engineering.

– ICT (IT)

The IT technician shall be in charge of the designing and maintenance of the school website, uploading materials, supervising and maintenance of computer systems and networks, installation, configuring computer systems, diagnosing hardware and software faults. He shall be responsible to the Dean of Computer Science.

– The Bursar (BUR)

The Bursar is in charge Of the general finance administration  and account of the school, he is in charge of the collection of the various fees, funds and payment of salaries. He shall be responsible to the Chairman Governing Council.

– Cashier (CASH)

Shall be in charge of receiving all payments receipts payable to the school and ensure that all are paid  into  the school account with the supervision of the Bursar.

– Head of Admin (HOA)

The Head of Admin is the administrative supervisor, he shall report directly to the Registrar.

– Chief Security Officer (CSO) Is in charge of the overall security of the school Campus including her personnel and students as head of all the securities he shall be responsible to the Registrar.

– Administrative Officer(AO)

The Admin officer shall be responsible for coordinating office activities and operations to secure efficiency and compliance to the school policies, keep stock of office supplies and place order when necessary. He shall be responsible to the Registrar.

– Administrative Assistant(AA)

He shall perform clerical duties to include assisting in daily office needs, managing and distribution of information in and out of the office, providing assistance to the officers, mail distribution, filing etc. He shall be responsible to the Head of Admin.

– Works and maintenance Officer(MO)

He shall be responsible for the maintenance, repair, equipment and building of structures, he shall inspect the plumbing, electrical systems, conduct maintenance and repair work in the school and hostel whenever necessary. He shall report to the Registrar.

– Lecturers (LEC)

Lecturers shall be involved in the planning of lectures, research, teaching, conducting and marking of exams and  assessments  Evaluations. They shall be answerable to their head of Departments.

– Security Officers(SO)

Shall secure the campus premises by patrolling, monitoring, surveillance, inspecting  the school buildings from time to time , prevents invasion of external forces, damages of school properties as well as restraining trespasses holding on to the fortification of the gate house. He shall be responsible to the  Chief Security Officer(CSO).

– Drivers(DR)

He shall drive the school vehicle of any category. He may also be assigned to individual officers. He is responsible to the Registrar.

Public Relation Officer(PRO)

is the School spokesperson, as well as the image making, students’ mobilization and every other thing that will boost the image of the school. He shall be responsible to the Rector.

– Secretaries(SEC)

The Secretaries shall be in charge of  the smooth running of the various offices that they are assigned to. They are responsible for ensuring that meetings are effectively organized, minute and maintain effective records and administration. They are responsible to the key officers and head of Departments.

– Porters (POR)

The school Porters are in charge of the security and overseeing the general conduct of students in the hostel supervise the cleaning of the hostel and ensure that the students are disciplined and leave peacefully without rancor. They shall be responsible to the Registrar.

– Receptionist(RO)

The receptionist shall be in charge of performing front desk duties by receiving visitors, administrative support, record keeping and other official tasks. He shall be in charge of Communications through Telephones and answering enquiries He shall be responsible to the Head of Admin.

– Office Assistant(OA)

Shall provide administrative and clerical support to others in the office. This includes running errands within and outside the office. He shall be responsible to the Head of Admin.

– Cleaners(CL)

The cleaners shall be responsible for ensuring that the entire schools including the offices surroundings and the field are kept clean at all times. They shall report to the Head of Admin.
